Documents Tab

The Documents Tab displays all the Documents that you have saved or uploaded in your Account. Each Document that has been saved or uploaded has a specific Name and Description to make it easier to find. There are also powerful Action Items you can select for your Document including Open Document and Send the Document via email now. You can also Edit the Document information and Delete the Document from your Account. If you click on the Name of the Document, it will automatically open up the Document in the program associated with it on your computer.

Upload Document

If you want to Upload a Document, simply click on the button at the top of the page that says “+ Upload Document” and an “Upload New Document” dialogue box will appear so that you can enter the Name and Description of the Document and then upload the Document by specifying the location of the file by clicking on the “Browse” button. You will then need to select the appropriate location of the Document so that it can be uploaded to your Account.

Search Documents

If you want to find a specific Document, you can Search for your Document by typing in your Search Text in the Search Box on the upper right side of the Document Header and select the Search button. The system will search through both the Name and the Description of your Documents and show you all the Results that meet your Search criteria. If there are no Results, simply clear out the text in the Search Box and hit the Search button again, or Select the “Document” Tab at the top of the page and all your Documents will be visible again.

Documents per Page Navigation Bar

By default, the system will automatically display the Documents in alphabetical order according to the “Name” of the Document. There is a “Navigation Bar” centered below the “Document Header” that will allow you to set your preference for the number of Documents to be shown to a Page view. To select more Documents to be shown, simply click on the “down arrow” within the drop down in the Navigation Bar and choose the appropriate number of Documents to be shown per page. When you change your preference, that new preference will be saved and will be the default until the preference is changed again. You can also use the horizontal arrows to the left and right of the Navigation Bar’s numeric display to paginate through the Documents if that is the preferred method of navigation.

Document Type Column

The first column in the Documents Tab is the Type column. This will indicate what “Type” of Document has been saved or uploaded. When you move the mouse over the “Type” header box, a list of all the Types of Documents will appear. If you want to filter your results by a specific type of Document, simply select the “Type” and only the Documents that are of that Type will remain in your listings. To change your display to see All the Documents, mouse over the “Type” column head again and select the “All” option. You can also click on the “Documents” Tab and the screen will regenerate and show you all the Documents again.

Document Name Column

By default, the system will automatically display the Documents in alphabetical order (A to Z) according to the column title “Name” of the Document. If you want to see the results in reverse alphabetical order (Z to A) simply click on the down arrow to the right of the column title “Name” in the first column and it will sort your Documents in reverse alphabetical order and it will now display an “Up” arrow to the right of the column title “Name” in the first column. If you want to change the sorting back to alphabetical order, simply click on the up arrow and it will sort the results by alphabetical order. Please note: You can always “Open” the Document by clicking on the “Name” of the Document. When you mouse over the “Name” of the Document the hyperlink underlining will appear. Simply click on the Name and the Document will automatically open up the Document in the program associated with it on your computer.

Document Description Column

If you want to see the Documents sorted by Description, simply click on the Up Down arrow to the right of the column title “Description” in the middle column and it will sort your Documents in alphabetical order by “Description and it will now display a “Down” arrow to the right of the column title “Description” in the middle column. If you want to see the results in reverse alphabetical order (Z to A) simply click on the down arrow to the right of the column title “Description” in the middle column and it will sort your Documents in reverse alphabetical order and it will now display an “Up” arrow to the right of the column title “Description” in the first column. If you want to change the sorting back to alphabetical order, simply click on the up arrow and it will sort the results by alphabetical order.

Document Created Column

Another useful way to sort through your Documents is to sort by the “Created” date. If you want to see the Documents sorted by the date the Document was uploaded or saved, simply click on the Up Down arrow to the right of the column title “Created” in the middle column and it will sort your Documents in chronological order by date and it will now display a “Down” arrow to the right of the column title “Created”. If you want to see the results in reverse chronological order simply click on the down arrow to the right of the column title “Created” and it will sort your Documents in reverse alphabetical order and will now display an “Up” arrow to the right of the column title “Created”. If you want to change the sorting back to standard chronological order, simply click on the up arrow and it will sort the results by chronological order.

Document Action Column

There are several Action Items you can select for your Document including Open Document, and Email Document. You can also Edit the Document Name & Description and Delete the Document from your Account.

Action – Open Document

To access your Action Items, simply click on the Gear Icon that is the first item in the column title “Action” found in the last column on the right. When you select the “Gear”, all of the available Action Items will be displayed in icon format. The “Open” icon is displayed by the “Paper with Arrow” icon. To “Open” the Document simply click on the “Paper with Arrow” icon and it will automatically open up the Document in the program associated with it on your computer.

Action – Email Now

To access your Action Items, simply click on the Gear Icon that is the first item in the column title “Action” found in the last column on the right. When you select the “Gear”, all of the available Action Items will be displayed in icon format. The “Send” icon is displayed by the “Envelope”. To have this Document automatically emailed to you or others right now, simply click on the “Envelope” and a dialogue box will pop up and all you need to do is to fill in the information to have the Document automatically emailed to you or others in the format that you select.

Action – Edit Document

If you simply want to make changes to the Name or Description of the Document, select the “Edit” button in the column title “Action” found in the last column on the right. This will launch a pop up dialogue box where you can modify the Name and Description of the Document. Once you have made your modifications, you can choose “OK” to save your changes or select the Red “X” icon to cancel the edits.

Action – Delete Document

If you no longer want or need a Document, you can “Delete” the “Document” by selecting the “Delete” button in the column title “Action” found in the last column on the right. This will launch a pop up confirmation dialogue box where you need to confirm that you want to “Delete” the Document.
